The business world toward is almost fully reliant on technology. As such, several Tech Corporations have developed numerous “suites” aimed at incorporating Information Technology and productivity apps into one. Of all these suites in the market,the Google Apps for Work suite is the most popular.I can attribute this to two main reasons.

  1. Google Corporation has numerous data centers around the world which support cloud computing ,therefore ensuring massive storage capabilities for clients and great efficiency.
  2. A vast majority of its products are free of charge with numerous business specific features that are very helpful to business enterprises.

Therefore as is customary when implementing any new system into a business organization to have an effective changeover strategy to be put in place so that the new system generates the desired results.

In this article, I am going to talk about the Google applications change management. I will tackle some of the issues businesses are likely to encounter when they decide to incorporate the Google Apps For Work suite into their organizations. These issues can either be internal or external.

Tackling The Change Denial.

How many times have you heard of the rolling out of a new technology in your workplace,only for it not to happen? If you are at ease with your ledgers using MS Excel, would you welcome the idea of using another software which you have probably never heard of to do the same?

What’s your first reaction when you hear that a new technology will be put in place? Most employees generally assume that these Technology changes only affect the IT department,therefore ‘killing the excitement’ before it had even precipitated. This highlights how directives on Technology Changes are met with denial. For the Google Apps suite to benefit the entire organization fully, the entire organization must fully own it. To achieve this the organization must thus strive to get everyone on board in the Google Applications change management plan, as this brings about positive attitude change towards the new technology.

Tackling the Change Anger

The saying ‘you can’t teach an old dog new tricks’ is etched into many an employee’s minds.You’ll be met with the same reaction you get when you take away a kid’s toys as when you tell a clerk that he/she can no longer use MS Word. It’s normal for people to get some sort of emotional attachment to their daily tools of the trade. It is therefore not surprising that a suggestion of change is met with anger and resentment. To make employees more receptive to the new technology it is important for the organization to give the employees hands-on training on the new software. It is also important to note that Google Apps comes with demos for their products. These initiatives ensure the users have a firmer grip on the new software they are using rather than focus on the one they are losing.

Tackling Change Bargaining

When rolling out a new system several changeover strategies can be approached.This approaches can be basically broken down into three;1.Direct 2.Indirect 3.Phased.

The latter being the most effective as it allows the new users to slowly adapt to the new technologies that are being introduced in phases. Normally it would be very tedious for users to learn all components of the Google Apps suite at a go, as such it would be better to roll out the change in phases with each department learning only one new product at a time. This helps as it changes the attitude of other employees towards the new technology particularly when they learn how easy it was for their colleagues to use the new apps.

Tackling Change Depression

As discussed earlier,its normal for a new technology to be met with mixed reactions and getting someone to use a different tool of the trade to the one he is accustomed to can also become very difficult .This might inhibit the technology from achieving the desired results. As such, training the users on the Google Apps for work may not be enough to make them ‘let go’ of their former software. It is, therefore, imperative for the organization to introduce training programs,routines and changeover guides. This programs should specifically aim to show the equivalencies and similarities between the old software and the new tool that come with the Google Apps suite.

Tackling Change Acceptance

One interesting aspect of human beings is their general resistance to a change in their norms. Resistance to change is mainly characterized by denial… Therefore change can only be fully realized after acceptance. For the Google Apps suites to be fully functional throughout the hierarchies of an organization, every member must fully accept it as the new norm. No Hangovers!
